Terms & Conditions


Important Information:

These terms and conditions are split into two sections:

- SECTION ONE refers to Speech and Drama (LAMDA) Tuition delivered by Sarah Cook either in a peripatetic school setting or in private lessons.

- SECTION TWO refers to lessons run through Cyclorama Drama (including holiday clubs, evening classes and youth theatre performance projects)

Please refer to the terms and conditions for the type of classes/course/project you are signing up for.

This contract agreement is a binding agreement between you (The Parent) and us (Cyclorama Drama/SJC Speech and Drama Tuition led by Sarah Cook) to agree terms of delivery and payment of services.

I (the parent) have read and understood the terms set out in this document, which forms part of this contractual agreement. By accepting these terms, you are agreeing to the following (as related to the service you are receiving):


SECTION ONE

SJC Speech and Drama Tutoring (led by Sarah Cook) Terms and Conditions

(Speech and Drama -LAMDA- Tuition delivered by Sarah Cook either in a peripatetic school setting or in private/online lessons.)

Cancellations & Refunds:

Fees and cancellation policy

  • Parents will be invoiced directly by the peripatetic teacher for payment of LAMDA tuition fees via registration on the platform ‘Class for Kids’. Once accepted, parents undertake to pay all fees on receipt of the invoice (with 7 days of receiving the invoice); and, in the event of discontinuance of lessons, to give at least half a term’s* notice in advance of the next academic term, in writing, to the peripatetic LAMDA teacher, or pay half a term’s fees in lieu of such notice. Any lessons missed by the pupil will be forfeited.

For example - If a parent wishes to discontinue classes for the Summer Term, they must give written notice no later than the Spring half term break in February.

*Notice is required to allow sufficient time to recruit a replacement pupil and to protect peripatetic tutors from a sudden loss of income.

  • Once you have committed to the class and payment for the term/project has been received, should you change your mind (we hope you don’t), we do not offer a refund policy for any amount of the remaining classes/sessions left in that term.
  • No credit will be applied.
  • Once you have cancelled, your place will be offered to another on our waiting list.

Missed classes:

  • Should you miss a class, no refunds or credit can be given. This also includes missing class due to illness or taking a holiday.

Cancelled Classes:

  • If the peripatetic teacher/tutor cancels a class due to unforeseen circumstances, a rescheduled lesson, credit note, or refund will be offered.
  • If a class is cancelled due to weather conditions or government guidelines (Covid 19 etc) and classes cannot be held at any venue, the peripatetic teacher/tutor will endeavour to host these lessons online via zoom or similar.

Discount & Payment:

Fees

  • The Parent shall pay the whole fee to Sarah Cook (via Class for Kids) prior to the Pupil commencing the selected course/class/project
  • These are billed ‘termly’ based on 10 week periods delivered in line with the academic school terms. You will receive an invoice for the term’s fees via our online platform 'Class for Kids' or 'Stripe' before the start of the term – these should be paid within 7 days of receipt of the invoice (or by the due date on the invoice).

Exam Booking and Fees

  • Children are entered for exams when they are physically, mentally and emotionally ready to take an exam, as confirmed by their peripatetic teacher/tutor. This will be communicated to parents/guardians as appropriate and all decisions will be made in communication with those involved (parents/pupils/teachers).
  • It is usual to take 2-3 terms to prepare for an exam though this will depend on the number of classes taken per term, the ability of the student and the difficulty of the Grade level being studied.
  • External exam fees are separate to tuition fees and will vary based on the fee structure set out by the relevant exam board (usually LAMDA - London Academy of Music and Dramatic Art) each year.

'Class For Kids' and 'Stripe':

  • These are the platforms used to send communication, take registration, make bookings for lessons and exam fees, send invoices plus take payments online. These platforms will outline the cost and discounts (if applicable) for the lesson type selected.

Late Payment Fees

  • A ‘10% late payment fee’ will be added to your bill if you do not pay within 7 days of the due date listed on your invoice (unless you have made prior arrangements with the peripatetic teacher/tutor, should there be some financial difficulty.)
  • In addition, please be aware that any late or unpaid fees will mean you will be likely to forfeit your child's place for tutoring/lessons (unless an arrangement has been made in advance of the term) and your spot could be given to someone on the waiting list.

Communication and Permissions

Spam:

  • On occasion emails from the peripatetic teacher/tutor and/or the ‘Class for Kids’ platform can go into the spam folder. Please can this be checked on a regular basis to avoid any miscommunication or important updates. 

Photos, Videos & Social Media: - SJC Speech and Drama

  • In general, pupils who attend peripatetic Speech and Drama Lessons whilst studying in a school setting will not be photographed or videoed for promotional/educational purposes (unless by the school themselves in line with their own photo permissions policy).
  • Parents who are happy for their children to be photographed and/or filmed for external promotional purposes (testimonials, evidence of work, marketing etc) for SJC Speech and Drama Tutoring/Cyclorama Drama can let us know by giving permission when registering on Class for Kids. We would be so grateful for your support as we grow our brand.
  • Those who attend private Speech and Drama classes/tutoring can opt to give photography and video permissions to SJC Speech and Drama as desired.
  • If you do not give consent for photographs and videos to be taken of your child in any context, please select this option when completing your Class For Kids registration. This should also be updated if your preferences change while attending classes.

SECTION TWO

Cyclorama Drama - Terms and Conditions

(external holiday clubs, evening classes and youth theatre performance projects)

Enrolment and Bookings

  • When a student enrols for a termly class with Cyclorama Drama, please note they are not enrolling for one term only, they are enrolled into the school as ongoing. Registration enrolment forms clearly state this & reminders are emailed out during the term. Each student is enrolled as an individual, including siblings or family members.
  • At least half a terms notice should be given for pupils not wishing to continue with their classes for the next term.

eg. If a pupil was not planning to attend the summer term (April – July) then written notice would need to be given to S.Cook by the half term break in February, by emailing Miss Sarah Cook on scook.freelance@gmail.com and receipt acknowledged.

  • If this is not given in the correct format as above, half a terms fees will be due for payment.

Privacy and Safeguarding

  • Cyclorama Drama respects the privacy of all students. All Staff are DBS checked and operate with a strict child safeguarding policy.

Cancellations & Refunds:

  • Payments will be returned if a class/holiday club/project has to be cancelled due to minimum numbers not being achieved.

Discount & Payment:

Fees

  • The Parent shall pay the whole fee to Cyclorama Drama prior to the Pupil commencing the selected course/class/project
  • These are billed ‘termly’ (or via monthly subscriptions depending on the class being attended). This means classes will be billed by the length of the class and weeks within that time frame. You will receive an invoice via our online platform 'Class for Kids' or 'Stripe'.
  • Holiday classes and stand-alone projects will be paid for individually on a project-by-project basis.
  • Your booking is not confirmed until payment has been received. Paid-for spaces will be given priority.

'Class For Kids' and 'Stripe':

  • These are the platforms used to send communication, take registration, bookings for trials, classes, workshops, holiday clubs, send invoices plus take payments online. These platforms will outline the cost and discounts (if applicable) for the classes/projects selected.

Late Payment Fees

  • A ‘10% late payment fee’ will be added to your bill if you do not pay within 7 days of receiving your invoice (unless you have made prior arrangements with the class leader, should there be some financial difficulty.)

  • On occasion emails from Cyclorama Drama can go into the spam folder. Please can this be checked on a regular basis to avoid any miscommunication or important updates. You should also ensure to check for emails labelled as from 'Class for Kids' and 'Stripe'.

Photos, Videos & Social Media:

  • Any photographs or videos taken during Cyclorama Drama classes, holiday clubs or rehearsals will be for promotional and/or educational use of Cyclorama Drama.
  • This may include publishing on the Cyclorama Drama official website and social-media platforms, advertising future events (such as flyers) and to facilitate the celebration of work/successes.
  • You must declare if you do not want your child to be photographed for marketing use, and keep us up-to-date should this change.If you do not give consent for photographs and videos to be taken of your child, please select this option when completing your Class for Kids registration. This can also be updated if your preferences change while attending classes.

Medical Information, Injury and Responsibilities

  • Cyclorama Drama or any of their staff are not responsible for any loss or injury during the class.
  • Cyclorama Drama reserves the right to remove from our programme, without refund, anyone who is found to be bullying, misbehaving or displaying disruptive behaviour.
  • ​You must declare all medical conditions for attendees during registration and keep us up-to-date should this change by emailing us at scook.freelance@gmail.com

Attendance and Punctuality

  • Every session has a timetabled start time. It is important that students arrive to classes on time. Every class has a warmup period and it is vital that students are in class for this, as this warms up their muscles, bodies and vocal cords.
  • It is expected that pupils attend all rehearsals and classes in their term. Please inform the class leader if your child will be unable to attend as soon as possible – this is particularly vital when rehearsing for a show/performance.

Health and Safety

  • Health and safety is a top priority for us at Cyclorama Drama. However, it is everyone’s responsibility to ensure that they feel safe. We rigorously risk assess every room before every class.
  • Parents are advised that risk assessments are available upon request.

First Aid

  • Cyclorama Drama has first-aid trained staff on site when classes are taking place. If your child has an accident, then they will be sent home with an accident form detailing what has happened and what action was taken and you will be informed upon pick up or if deemed appropriate we may contact you to collect your child.

Fire Safety

  • In the event of a fire students are expected to follow the instructions of the Cyclorama Drama staff. All students must leave the building through the nearest fire exit in a safe but timely manner and make their way to the fire assembly point, which will be clearly marked.
  • All fire doors are clearly marked and should/will be kept closed and be kept clear at all times!

Equal Opportunities

  • All young people are equal and will be treated as such. We value inclusivity as a core value at Cyclorama Drama and look to foster a welcoming and diverse community.

Data protection

  • All information and details that we collect is essential for us to teach your child safely. We only collect essential information about both students and parents! This can be accessed at anytime. We comply with the General Data Protection Regulation 2018 set by the EU.

Child Pick Up Policy

  • Parents/guardians can collect their child at the end of the timetabled class by waiting outside the venue by the entrance.
  • Parents who wish to, can give permission for their child to be collected by another named person other than the parent – this information must be given at the time of registration on Class for Kids – or by emailing scook.freelance@gmail.com in advance of the day of collection.
  • Parents who wish to, can give their child permission to travel home from their class/session/rehearsals independently – this information must be given at the time of registration on Class for Kids – or by emailing scook.freelance@gmail.com in advance of the day of the class.
  • Parents who are collecting their children are expected to do so in a timely manner. Persistent late collections may lead to the charging of late collection fees. This will be communicated in advance following a written warning.

Dress Code/Uniform

  • Cyclorama Drama does not operate a specific uniform policy for our classes/projects – in fact, we love to encourage our pupil’s creativity through clothing. That being said, it is vital that pupils are wearing clothes that are appropriate to the activities they will be participating in, and that they can move in easily.
  • A good example for a practical drama class would be comfortable trousers/t-shirt/hoodie/trainers
  • Those wearing inappropriate footwear (flip flops, heels etc) will be asked to work in bare feet for health and safety reasons.
  • Those taking dance/musical theatre classes may be given more specific guidance relating to clothing linked to health and safety requirements – this will be communicated at the time of booking.
  • At various points, branded clothing and marketing items may become available to purchase for those who would like them, but they will not be considered ‘uniform’ and will always be optional (unless provided free of charge - or as part of class/project fees).
